Intro

This is the protocol for outgoing/incoming Managers, with instructions aimed at Operations Managers however they are at liberty to share the entire document with the Managers involved.

Dear Manager, Are you sure?

A great loss

A Manager leaving is a huge loss in terms of local experience, accumulated knowledge and the relationship we’ve built up personally with that person. We must do all possible to avert such a loss and find solutions if they are available.

Solutions

Ask the Manager why they want to leave, are they are absolutely adamant that they want to go? If it’s for a Masters Degree in another city, an ill family member or a work opportunity, then it’s a closed case. If they site frustrations, finances or boredom, we should seek to provide solutions to this in order to keep them on board.

Personal Goodbye

The Manager should write a personal post advising that they will step down. This is a chance to allow the public to voice their appreciation to the Manager and simultaneously announce that we are searching for a new Manager. The Manager should choose their own words, any expressed in this document are by example only.

In short (example)

“I’ve been running Mundo Lingo Tokyo for 4 years and I had an amazing time, thank you everyone for your support. It’s now time for me to pass the baton to the next Manager. I will be around/visit sometimes, will miss you all. Those who wish to apply, please comment below”

The Last Speech is in their own wording; however it should include somewhere the fact we’re accepting applications for new Managers and ask people to comment in the post if interested.

  • Pin it to the top of the group

Incoming Managers

Choosing new Managers

New Managers are chosen by Mundo Lingo Community with the collaboration of the outgoing Manager.

City Stock and Assets

The flag stock, folders, hole punches or anything else belonging to the local operation is given or sold by the outgoing CM to the incoming CM. ML COM has no input in this process but we recommend 40 to 50 cents (US) per page of good-condition flags. Costs of old folders, pens, hole punches etc are usually low enough to consider giving away. The new CM has no obligation to buy these items and is at liberty to purchase new stock independently.

City Finance

The new CM inherits the city ‘as is’ from the outgoing Manager. If the city has a positive or negative balance, this is not reset to zero for new Managers. Therefore, both the incoming and outgoing CMs must settle the city finances between eachother.

Telegram

As the final day approaches for the handover.

  • Write in the Academy advising everyone of the departure of our CM. Make it personal.

  • If an incoming Manager is ready, the Incoming Managers welcome message can be paired with the Outgoing CMs farewell message.

  • Remove Outgoing Manager About 5 to 7 days later.
